How to Compress a PDF to 200 KB

A 200 KB limit turns up constantly on recruitment portals, university applications and government e-forms. It is tight, but most everyday documents can reach it without looking bad. This guide covers the quickest route, why some files resist, and the fallbacks that always work.

The short version: run the file through the PDF Compressor, pick a strong level, and check the size. If it is still over, you either lower the level again or remove pages. Everything else below is detail for the cases where that is not enough.

Why 200 KB is harder for some PDFs

A PDF’s size is driven almost entirely by what is inside it:

  • Scanned pages are photographs of paper. They compress a lot, because a scan at 300 DPI holds far more detail than a screen ever shows.
  • Digital text (exported from Word, Google Docs or a browser) is already small. A 10-page text PDF might be 90 KB before you touch it, and there is little left to squeeze.
  • Photos and screenshots placed in the document are the usual reason a “simple” PDF is 3 MB. These are what compression targets.

So a two-page scanned ID or mark sheet will drop under 200 KB easily. A glossy 12-page portfolio full of product shots will fight you, and the answer there is usually to send fewer pages.

Steps

  2. Choose the strongest compression level offered.
  3. Download the result and check its size on disk.
  4. If it is still above 200 KB, run the downloaded file through once more at the same level, or move to the steps below.

If it will not reach 200 KB

  • Split it. Most forms only need specific pages — a certificate, one statement page, a single signed form. Use Split PDF to keep just those, then compress the smaller file.
  • Re-scan at a lower resolution. If you are scanning the document yourself, use 150–200 DPI instead of 300 or 600. On screen the difference is invisible; the file is a quarter of the size or less.
  • Check it is really a PDF. A phone photo renamed to .pdf, or a PDF that is one enormous full-resolution image per page, will not behave. Rebuild it from the source if you can.
  • Convert a text document properly. If the PDF came from Word, export it again with “minimum size” or “web” quality rather than print quality.

Keeping it readable

The compressor never rewrites the selectable text layer. Only embedded images are re-encoded, so headings, body text and tables stay crisp and you can still search and copy from the file. What changes is photographic detail: at a strong level, a scanned page may look slightly softer if you zoom to 300%, but at normal reading size it is hard to tell.

If the result looks too rough, step back one level and accept a slightly larger file, or reduce the page count instead. There is almost always a combination that fits 200 KB and still looks professional.

A reliable order of operations

  1. Remove pages the form does not ask for.
  2. Compress at a medium level and check the size.
  3. Still over? Compress the result again, or step up to the strongest level.
  4. Still over? Drop the scan resolution or split further.

Working in that order means you only trade away quality as a last resort, and you usually stop after step two.

Common mistakes that waste your first attempt

Uploading a file that has already been compressed once by another tool is a frequent cause of disappointing results — there is nothing left for a second pass to remove, and the image can look worse for no size benefit. Another common mistake is compressing a scan taken in colour when the document is genuinely black and white; converting to greyscale before you compress (many scanner apps offer this) removes colour data the compressor otherwise has to encode, often for free. A third is judging the result from the on-screen preview at a small zoom level, where every version looks fine — always check the actual downloaded file size, not just how it looks in the browser tab.

How much each compression level actually saves

To put numbers on it: a typical 5-page scanned document saved at 300 DPI often starts around 4–6 MB. A light compression pass usually brings that to 1–2 MB — barely visible loss, but nowhere near 200 KB. Medium typically lands between 400 KB and 900 KB, which is closer but still often short. Strong is usually what gets a genuinely scanned multi-page document under 200 KB, at the cost of some softness in fine detail if you zoom in a long way. A one or two page scan behaves the same way but scaled down, often reaching 200 KB at medium rather than needing strong. Knowing roughly where your file sits before you start saves a few rounds of trial and error — if a 6 MB scan needs to hit 200 KB, go straight to the strongest level rather than working down from light.

A quick checklist before you upload to the portal

  • Open the compressed PDF and check every page, not just the first — a single photo-heavy page can be the reason the whole file is still too big.
  • Confirm the file extension is still .pdf and the name matches whatever pattern the form expects (some portals are picky about spaces or special characters in the filename).
  • Re-check the exact size against the limit; “about 200 KB” and “200 KB or under” are not the same thing on a strict form.
  • Keep the original, uncompressed file somewhere safe in case you need to resubmit for a different purpose later.

Is there a size the tool cannot beat?

Yes. A single page of dense colour photography has a floor of maybe 60–120 KB before it turns blocky. Ten of those pages will not fit 200 KB at acceptable quality — you need to send fewer pages.
